Since May 1999, when the first email-transmittable virus was written, the Microsoft Error Messages are not accurate - because they do not consider the Anti-Virus software that's on the computer.
Microsoft Outlook, Outlook Express, Windows Mail and other "email client software" think they are communicating directly with a Mail Server.
Microsoft Outlook, Outlook Express, Windows Mail sends the email, which is then scanned by the Anti-Virus software.
The Anti-Virus software then, in turn, communicates with the Mail Servers.
The key phrase in the error message below is "terminated the connection" - which means there was a connection but it somehow got interrupted.
It is usually the Anti-Virus software that causes the problem.
If the error happens once or twice, then the Anti-Virus software was probably updating at the time.
If the error happens a lot, over days, then the Anti-Virus software may be out of date... and it's trying to protect the computer.
Another possible cause: Microsoft Outlook, Outlook Express, Windows Mail should be set to retrieve new emails automatically only every 30 Minutes, 40 Minutes or 45 Minutes -- NEVER "every 5 minutes" - because if there is a large email inbound or outbound email that it's working on, Outlook will ABORT the connection in order to obey your rule - which is to retrieve new email "every 5 minutes".
Setting the frequency too low will cause lots of "email problems".
This may cause your friends to receive the same email from you twice, 5 times, or even 10 times.
The Anti-Virus software (that's the middle-man) will attempt to complete the current operation first (which is either Sending or Receiving) which sometimes gets it confused.
In Outlook Express or Windows Mail software, the setting to change the frequency is in Tools > Options > on the General Tab.
Notice that our 1USA office computers are on T-1 lines and are set to retrieve new emails every 45 minutes.
If there is a large email coming or going, "45 minutes" gives enough time for that operation to finish.
If you are on a Dialup connection and frequently receive emails that are 5 MB or 10 MB in size, your setting should be longer -- or switch to using the Webmail service instead of using Outlook Express.
